Position: Administrative Assistant
Reports to: Principals
Location: Downtown Toronto
Employment: Full-Time in office position
Salary Range: $45,000 – $55,000 (commensurate with experience)

We are looking for an Administrative Assistant to provide support in a broad range of areas. The successful candidate is a self-starter, takes direction and works well with others; is exceptionally organized and has a broad range of high-level office skills, including solid computer skills. Experience working in a small office, or a non-profit setting will be an asset. There is opportunity for growth with our company.

Salary is negotiable based on level of experience. Our company has a health benefits program.

Responsibilities

  1. Act as the bookkeeper for the association management company and client associations. This includes:
    • Handle bank deposits and prepare digital and cheque payments.
    • Record all receipts and disbursements.
    • Perform monthly reconciliations and prepare financial statements.
    • Assist in the preparation of annual budgets and forecasts.
    • Keep track of bank balances.
    • Follow the financial policies of the company and respective client associations.
    • Prepare materials for the annual audits.
    • Prepare and file GST/HST returns and, where necessary, QST returns.
  2. General administrative duties and ordering office supplies.
  3. Liaise with service providers/vendors as needed.
  4. Process memberships and maintain databases.
  5. Support for conferences/events, including managing the registration and housing lists.

Qualifications

  1. Bachelor’s degree or Community College diploma/certificate in a related field, plus three to five years of administrative experience (preferably within the not-for-profit sector).
  2. Experience with QuickBooks online and online vendor payments (e.g. RBC Express).
  3. Superior organizational and communication skills, tact, diplomacy, and sound judgment.
  4. Superior knowledge of Microsoft Office, Adobe Professional, website maintenance, Survey Monkey, and Constant Contact.
  5. Excellent time management skills and ability to problem solve and troubleshoot.
  6. Self-starter with the ability to work independently and as part of a team.
  7. Excellent command of English grammar and writing abilities.
  8. French skills in reading and speaking are an asset.
